We understand that this can happen. We offer 3, 1-hour credits per month, if needed, for no-show patients. Credits do not roll over from month to month. Does the front office staff answer incoming calls for the members? No, this is not a service we offer. With the number of practices that utilize our space, incoming calls would be too overwhelming. We recommend hiring a virtual assistant or answering service for that need. Is there a minimum booking requirement? No, you do not ever have to make a booking. Some members only utilize our office as a business address to receive mail and deliveries. When you do make a booking, the minimum booking is 1 hour and then in 30 minute increments after the first hour. Do you offer administrative or medical assisting services? Yes! We have staff that provide these services for an additional fee. Members can purchase a package of time in either 1 hr, 3 hr, or 10 hr blocks and the staff member will deduct time spent on that Member’s behalf in 10-minute increments from their time bank. Rates for administrative or medical assistant services can be quoted as part of an online inquiry request or by phone or in person during a scheduled clinic tour. Do you take a percentage of my billings? NO, you keep 100% of your billings. We are here to help you build your practice. We offer medical clinic space and services for a fee and don’t ever get involved in your billings or revenue. Do you require a security deposit?We do charge a security deposit that is based on the pricing plan you choose. Security deposits can be applied against fees due if unpaid and late. If your account is in good standing at the end of your membership, we can apply your security deposit against any last month fees due. Do I need to book time to use the Provider Work Room? No. Anytime use of the Provider Work Room is included in the monthly membership fee. The Provider Work Room has desks and chairs and office equipment for printing, copying, scanning and shredding documents. It is not a private room and there may be multiple providers using it at the same time. It is not a place to see patients. For that you’ll need to book private exam/consulting rooms. How do I pay my fees to you? What forms of payment do you take? All members are required to have a payment source on file with us. We take all types of credit or debit cards or bank ACH.  In a few cases of corporate satellite offices we can arrange to invoice the corporate billing office and setup ACH payment with them.  Payments are charged automatically to your payment source per the terms of your membership agreement. Specifics will be detailed to you as part of signing your membership agreement. What term length do I need to commit to? We keep it very simple and highly flexible. For hourly or part time plans, you can terminate your membership at any time with a 3 month notice. So at any time you are never locked in for more than 3 months. If you want to add weekly recurring blocks you can do that at any time with no minimum notice required. If you want to reduce weekly recurring blocks, that will require a 3 month notice. Full time exclusive rooms do require a 12 month initial term. Can I store my supplies and equipment there when I'm not there? Yes! Supplies and small equipment can be stored in lockers. We also offer lockable refrigerated storage for those members that want to store medications onsite that require refrigeration. Larger equipment that is too large for lockers may potentially be stored onsite, but will need to be approved by Viva MedSuites and is subject to available equipment storage space. Storage pricing will be quoted to you at the time of a tour or specific inquiry. Will I use the same exam/consulting room every time? If you have selected fixed weekly recurring time blocks, you will use the same room every time. That room will be blocked out for you automatically every week during your designated time blocks. If you are booking time on a PAYG hourly basis, you can book any room that is available. We do not guarantee specific rooms will be available for hourly bookings, but members will generally be able to book a room when needed, just not necessarily a specific room. If you want to have a specific room every time, you would need to sign up for weekly recurring blocks and you will be charged the block time every week whether you use it all or not. Full time exclusive room plans will be for the same room all the time. Can I use more than one exam/consulting room at the same time? Yes. You can book two or more exam rooms at the same time if they are available, but you will pay a separate fee for each room. Our booking fees are based on a per room basis. Do you give exclusivity to any type of practitioner? We do not offer exclusivity to any practice type. There may be multiple members that offer similar services as your practice. What services are included in the rate? You won’t pay anything additional for all of the following services that are included in your membership.  Building CAM (common area maintenance)  Real Estate taxes  Utilities  Janitorial Services WiFi internet  Use of facility furniture and equipment  Basic medical supplies stocked in the rooms  Sharps and medical waste disposal Can I advertise my services in the waiting room or to other members? One of the benefits of membership is that you will get a full screen practice profile created for you that will be displayed on the large screen TV in the waiting room. Member profiles will cycle through on the big screen so that patients waiting in the waiting room will see providers profiles which can include services offered and contact info. You may also place business cards or small brochures at designated areas in the waiting room. All marketing materials must be approved by Viva management.  In addition we send out member profiles and offers to all our members to help the members get to know each other and to foster referral relationships. We also will do occasional member networking events to get to know the other members. Referral relationships are best fostered in person and we encourage members to take time to meet and get to know the other members when they are there onsite. Many of our members have developed friendships and referral relationships with other members and find that these associations are a valuable part of their membership at Viva MedSuites. Why do telemedicine/hybrid practices need a physical Arizona address for DEA registration even if they have an existing DEA registration in another state?DEA rules (21 CFR 1301.12) require a separate registration per state where you prescribe controlled substances, linked to a physical principal place of professional practice—not a PO Box or virtual mailbox, or non-medical co-working location. Viva MedSuites provides its members with an Arizona physical address for this purpose, which is inspectable at any time by DEA registration agents and has been successfully approved multiple times by the DEA’s Phoenix Field Division. Can Viva MedSuites be listed as the registered address on my DEA Form 224?Yes. Viva MedSuites locations have been approved by the DEA as both an inspectable principal place of business and as a controlled premises. Many telemedicine and hybrid providers successfully use it for registration.Does Viva MedSuites guarantee my DEA application will be approved? No, we can’t guarantee that, and neither can any other location. The DEA will not “pre-approve” any location for any practice. They evaluate each application individually and take into consideration many variables specific to the applicant. However, as it pertains to the address itself, we have had a high success rate of approval because the DEA Field Office inspectors have inspected our sites and are very aware of Viva MedSuites, how we operate and the processes we have in place to minimize the risk of controlled substance diversion. If there is nothing problematic with the practice or the practitioner, the DEA is very likely to approve the location. What if I receive pushback from the DEA questioning the address as a non-approved co-working location?This is a common occurrence to get an initial response from the DEA registration agent questioning the address. This should not be seen as a rejection. It is just part of their process to do an initial push-back and have the applicant respond that they are using a Viva MedSuites address, which is an inspectable location at any time, a medical-only co-working clinic with full-time front desk staff, access control systems and diversion control systems in place. We can provide the applicant with a letter explaining this. The DEA already knows this, but this is part of their process. Once you respond back as stated above, they will typically approve the application, unless there is some other practice or practitioner related issue. Can I store controlled substances at Viva MedSuites? Yes. We have individual lockers which are behind access-controlled areas where you can store and lock controlled substances. You are still responsible for keeping accurate records of all controlled substances and providing any records requests to DEA inspectors as requested. Do I have to be present for DEA inspections? No. Most DEA inspections are unannounced. Our front desk staff is onsite M-F from 9am-5pm (except for standard holidays) and can meet with an inspector if they show up. Generally they are just looking to confirm that the practice is actually a member at Viva MedSuites, which we can confirm. We have a separate letter that you can sign which designates Viva MedSuites staff as able to represent basic elements and show inspectors our clinic space and processes. Any requests related to patient records, inventory records, etc. we will request that the inspector contact the practitioner/registrant directly. Do I need to use a medical address to get DEA approval for my AZ registration or can I use any address? The DEA will not approve an application using a mailbox service or an executive suite company. The address needs to be Inspectable at any time unannounced and 2) qualify as a “controlled premises” meaning a location that has specific access control and diversion control processes in place. For these reasons, the DEA will reject mailbox services and office executive suite companies as a valid registered address for your practice. You can use a home address if it is your actual primary residence, but it too would need to meet the same criteria of being inspectable at any time unannounced, and have specific access and diversion control systems in place. For practices based outside Arizona, looking to establish a valid Arizona presence, but not wanting to take on the large overhead and risk of having your own dedicated medical clinic space, Viva MedSuites is the best option that will give you everything you need, not just for a likely DEA approval, but for AZ Dept of Health and Medicare and Insurance Credentialing approval as well. Do I have to have a full-time, dedicated room in order to get DEA registration approval? No. It used to be that the DEA wanted to see that, but after extensive efforts on our part to educate them on how we operate and showing them that we provide our members with a location that is available to be inspected unannounced, staffed during normal business hours, with effective access and diversion control processes in place and also that we are a medical-only co-working clinic, they now will accept and approve applicants using our location without requiring them to have a full-time dedicated room. FAQ About Shared Medical Offices What happens if my patient no-shows? We understand that this can happen. We offer 3, 1-hour credits per month, if needed, for no-show patients. Credits do not roll over from month to month. Does the front office staff answer incoming calls for the members? No, this is not a service we offer. With the number of practices that utilize our space, incoming calls would be too overwhelming. We recommend hiring a virtual assistant or answering service for that need. Is there a minimum booking requirement? No, you do not ever have to make a booking. Some members only utilize our office as a business address to receive mail and deliveries. When you do make a booking, the minimum booking is 1 hour and then in 30 minute increments after the first hour. Do you offer administrative or medical assisting services? Yes! We have staff that provide these services for an additional fee. Members can purchase a package of time in either 1 hr, 3 hr, or 10 hr blocks and the staff member will deduct time spent on that Member’s behalf in 10-minute increments from their time bank.
